Community Calendar & Events

Events are at the heart of community life. Whether it's a weekly meetup, a one-off cleanup, or a seasonal market, the calendar and events system helps you plan, share, and keep track of what's happening in your community.

The Calendar View

Every community has a calendar accessible from the side menu. It gives you a visual overview of all upcoming and past events.

Monthly Grid

The default view is a monthly calendar grid. On desktop, each day cell shows the names of events scheduled for that day. On mobile, days with events are marked with coloured dots to save space — tap a day to see the full list.

Navigation

  • Use the left and right arrows to move between months.
  • Click the Today button to jump back to the current month and highlight today's date.

List View

Prefer a simple list? Toggle between the calendar grid and a list view that shows events in chronological order. The list view can be easier to scan when there are many events, or when you want to see details at a glance.

Viewing Event Details

Click on any event to open its detail page. Here you'll find everything about the event:

  • Date and time — the start date and time, plus the duration if the organiser set one
  • Location — the address or place name, with an interactive map showing where it is
  • Description — a rich text description with all the details
  • Contact information — how to reach the organiser, if they've provided it
  • Image — a cover image for the event, if one was uploaded
  • Tags — labels that help categorise the event
  • Attendance — how many people are going (including their guests)

Responding to Events

When you find an event you want to attend, you can let the organiser and other members know by choosing Going or Can't Go.

How to respond

  1. Open the event detail page.
  2. Click Going to confirm your attendance, or Can't Go to let the organiser know you won't make it.
  3. If guest counts are enabled, select how many guests you're bringing.
  4. To change your response, click the same button again to clear it, then choose a different option.

Response deadlines

Some events have a response deadline. After the deadline passes, you won't be able to change your response. Check the event page for any deadline information.

Attendance display

The event page shows the total number of people going, including guests. If you're the event organiser, you can see the full list of attendees and their guest counts.

Adding Events to Your Personal Calendar

Don't want to forget about an event? You can add it to your personal calendar:

  • Google Calendar — click the Google Calendar link on the event page to add it directly
  • Other calendars — download a calendar file (.ics) and import it into any calendar app that supports it (Apple Calendar, Outlook, etc.)

Creating an Event

Any member with the right permissions can create events for their community.

How to Create an Event

  1. Navigate to your community's Board or Calendar.
  2. Click Create Event.
  3. Fill in the event details:
    • Title — a clear, descriptive name
    • Start date and time — when the event begins
    • End date and time — when it ends (optional, but helpful)
    • Location — where it's happening, with a map marker
    • Description — all the important details, formatted with the rich text editor
    • Image — an optional cover image
    • Tags — labels to help people find and filter the event
    • Contact information — how attendees can reach you
    • Visibility — public (visible to everyone, including non-members) or members-only
  4. Click Create to publish the event.

Public vs Members-Only

  • Public events are visible on the community's public page and the Discover page. Anyone can see them, even without an account. This is great for events meant to attract new members.
  • Members-only events are visible only to community members. Use this for internal gatherings or events that are only relevant to existing members.

Cancelling an Event

If plans change, you can cancel an event rather than deleting it. Cancelled events:

  • Display a Cancelled badge so members know it's no longer happening
  • Keep all existing responses frozen — no new responses can be made
  • Remain visible so people who already responded can see the update
  • Can be reopened if circumstances change again

Cancelling is usually better than deleting because it preserves the information and makes sure attendees are aware.

Frequently Asked Questions

Q: Can I respond to events in communities I'm not a member of? A: You can only respond if you're a member of the community. Public events are visible to everyone, but you'll need to join the community to respond.

Q: Is there a limit to how many events a community can have? A: Yes, the number of upcoming events depends on your community's subscription plan. Free communities can have up to 5 upcoming events, Pro allows 20, and Unlimited has no cap. Past events don't count toward the limit. See Subscription Plans for full details.

Q: Can I edit an event after publishing it? A: Yes. If you created the event or have the right permissions, you can edit any event detail at any time.

Q: How do guests work when I respond? A: If guest counts are enabled, you can add guests when you choose Going. The total attendance count includes all guests. This helps organisers plan for the right number of people.

Q: What happens to my response if an event is cancelled? A: Your response is preserved but frozen. You won't be able to change it, and the event page will clearly show it's cancelled. If the event is reopened, responses resume as normal.

Q: Can I see who else is going to an event? A: The event page shows the total number of attendees. The full attendee list with individual guest counts is visible to the event organiser.

Q: Do I get notified about new events? A: Yes, community members receive notifications when new events are created. You can manage your notification preferences in your settings.
